Growing-site records

Version RC-GROWER-2026-09-v1 · 12 September 2026

Who these terms identify

platform operator
Roots to Fruits CIC
95 St. Michael's Road Aldershot, Hampshire GU12 4JJ

These terms supplement the account terms when you use Rooted Commons growing tools. The Platform Operator provides the tools; the person or organisation responsible for a site controls authorised access to its records.

Your records

Using Rooted Commons does not transfer ownership of growing records, photographs or other material to us. Existing rights of the site’s organisation, contributors and third parties remain intact. Access to a shared site does not make every participant the owner of all its records.

You allow us to hold and process records to provide the tools, support authorised users and maintain the service. Private site records are available only through authorised access, including necessary support, security and legal access.

We will not use private costs, yields, labour or planning information to negotiate against a grower, set purchasing offers or give a buyer an advantage. This restriction also applies where the same organisation runs the tools and buys produce.

Sharing and publication

The site’s authorised users choose what to share with clients or publish. Check those choices before adding personal information, photographs or recordings. Sharing a site does not authorise a recipient to use its records for unrelated purposes.

Publishing selected harvest or availability information can make it available to trading tools. It does not publish the whole growing plan or private financial records. Turning sharing off stops further access through that feature; it cannot retrieve copies someone has already lawfully received.

Suggestions and offline work

Plant identification, planning estimates and map positions can be wrong. Check them against conditions on the ground before acting. A plant suggestion is not confirmation that a plant is edible, safe or healthy.

Offline work remains on the device until it successfully synchronises. Review any reported conflicts. Clearing device storage or signing out can remove unsynchronised work, so check it first.

Export and leaving

Authorised users can export site records using the available export tools. Contact us for help with retained files or records those tools do not include. Exports must respect other people’s privacy and rights.

Before leaving a shared site, arrange any necessary transfer of administration. Closing one person’s account does not delete the organisation’s records. If the service or its operator changes, we will explain the arrangements for access, export and any proposed transfer before it happens where reasonably possible.

Personal information is handled under the privacy notice. The account terms cover contact, service changes and legal rights.
